Policies and Supplemental Agreement

 

Pickup and return times

 

All travel trailer and motorhome rentals have a minimum three day requirement excluding NASCAR, holidays, and special events. Standard checkout times begin at 10 am. Our last scheduled checkout time is 3:00 p.m., checkouts beyond 4:00 p.m. require prior approval. No Sunday checkouts will be permitted.

 

Returns are due back to Sportsman's RV Rentals lot by 3 pm. on the last day of the rental. For weekend returns, renters will be given a dedicated gate code to return the RV in the event a Sportsman's RV Rentals representative is not at the office. The gate code will only work during normal return hours of the return day, any unit not returned by the above specified times will be billed for an additional day rental at the billed rate.

 

If the customer drops off a vehicle before or after our regular return times or if the vehicle is dropped off when we are not available to check the vehicle in, the customer will be held responsible for any damages that may occur to the vehicle until we have the next available opportunity to check it in during regular business hours. 

 

No refunds will be issued for any unit returned early or picked up late.

All renters much be 25 years old. The one exception is for our Tuscany Class A Diesel pusher which requires the renter to be 30 for insurance purposes

All drivers must be listed on, and sign the Rental Agreement and will be bound by the Terms and Conditions of the Rental Agreement.

Boon docking...camping without power hookups (generator, 30 or 50 amp RV power) is prohibited without prior authorization from Sportsman's RV Rentals. All motorhome (Class A and C) require power hookups at campsite.  If a renter utilizes a motorhome onboard generator full time while camping, upon return they will be billed $200/night for the generator use plus hours.

How should I return the RV?

​

Renters are responsible for returning all RV's with completely empty holding tanks. Failure to do so WILL result in a $40.00 septic charge being withheld from your security deposit. Exceptions are made for deliveries and for renters who choose to pre-pay for the septic fee. 

​

The customer agrees that he or she will return unit in same condition as picked up, excluding normal wear, and that the unit will be clean, full of gas, and have the tanks emptied. 

 

All units are required to be returned clean unless the renter pre-paid for a cleaning fee. If a unit is returned dirty, then a cleaning fee ($150-$450) will be withheld from renter’s deposit. For example, nightly rental fees do not include us doing your dishes when you return. All trash and belongings must be removed from the unit, with floors swept and counter tops wiped clean. Bathroom also need to be wiped down and out.

 

Sportsman’s RV Rentals includes bedding for full time beds only, this excludes any couches or dinettes that are convertible to beds. The rental will also include 4 towels for your trip. Additional bedding or towels will be renter’s responsibility. Bedding and towels are not required to be washed prior to return.

 

 

 

​​Reservation Deposit

 $500 or 25% of the rental total

 

This reservation deposit will be credited towards the rental fee.  Reservation deposits are non-refundable but are transferable up to one year for future rentals.  Inside of 14 days of checkout date, reservation deposits are non-transferable and non-refundable.  Reservations will be held on a first come first serve basis and dates will not be held without the reservation deposit. 

 

Security Deposit

 

A $500-$2000 refundable security deposit will be required at time of checkout and will be held as a charge on a credit card. This security deposit will be held to cover (1) the deductible portion of insurance in the event of collision, (2) damage or abuse to unit other than collision, (3) all other instances expressed within the agreement.  The security deposit will be refunded up to seven (7) days after check in date providing the unit was returned undamaged, on time, cleaned, and holding tanks are empty. A 4% processing fee will be accessed to any security deposit withheld.

Deliveries

​

Sportsman’s RV Rentals offers delivery and pick-up of the unit. Delivery rates begin at $7.00 per mile one way with a minimum of $200.00. Included in this fee is delivery, set-up, take down, and pickup.  This will also include a thorough walk through of the unit with a Sportsman’s RV Rentals specialist to point out operation of all on-board equipment. Delivery is specific to towable units and excludes motorized RV’s.

 

Securing a camp site and all camp site fees are the sole responsibility of the renter.

If a delivery is not taking place at a campsite with a designated camping spot number, the renter must be present at the time of delivery to coordinate the desired set up spot. If the renter is not available to help direct the delivery personal an additional return set-up will be charged. 

 

Damage to Vehicle

If a mechanical breakdown should occur contact us immediately.  The renter is responsible for full value of damage interior or exterior caused to the unit during the rental period including damage to tires and damage caused by tires to the unit.

Awning use is prohibited on all Sportsman's RV Rental units and is not covered by the insurance. Any awning damage sustained during a rental will be at the expense of the renter and will be withheld from renter’s security deposit with any overages being charged to the renter with the credit card on file.

​

Damage under the cost of the insurance deductible will be deducted from the security deposit. Please note, money may still be owed after returning the unit if: a. The insurance deductible has been exceeded, AND/OR b. There have been additional charges for one or more of the following: mileage, fuel, excessive cleaning fee, smoking, or damage to the unit.

If appropriate, the customer is responsible for checking engine oil, fluids, tire pressure and condition, and coolant levels at each refueling, as well as reporting mechanical failures immediately. Customers may be held responsible for mechanical damage due to negligence in vehicle operation or failure to provide normal maintenance.

 

Radio, awning, refrigerator, microwave and appliances, cruise control, and generator malfunctions are not considered breakdowns and no refunds will be issued if they should occur.

 

Customers are responsible for reporting and payment of all parking/traffic violations and toll charges which will automatically be charged to the renter upon receipt. 

 

Any damage to unit that does not require an insurance claim and is subsequently repaired by a Sportsman's RV Rentals representative is subject to at $110/hr labor rate for repairs.

 

Sportsman’s RV rentals does allow well trained dogs inside their units. However they must be kenneled anytime the owners are not inside the unit and are not allowed to be left alone nor allowed on ANY furniture. The Pet Fee covers the extra work to sterilize after a pet but renter remains responsible for ALL damage caused by pet. Cats are not allowed inside any of our units unless they remain in a kennel for the duration of the rental.
